New update is TERRIBLE
Before, creating my schedule and setting my availability was a breeze! I could switch it whenever school was in session or vice verse. I could even set a preference for being unavailable twice in one day, or set my availability for a certain time span up until a specific date.
Now it is on a weekly basis - terrible idea. For example, for Friday I am available all day. But now, I want to make my Friday’s unavailable to work from 5pm-12. When I try and input this, it keeps telling me it’s “conflicting with another day.” This is absolutely absurd! It’s not conflicting with another day because I don’t care about future dates, I want it to be consistent every Friday now! Now I have to delete my entire availability schedule for each day just to change ONE availability for any day. It’s ridiculous.
PLEASE undo this. Or at least give each person an option. Maybe it’s a glitch because being a 19 year old, completely understanding technology, me nor my coworkers the same age as me can figure this out.
Ok
I had a bad initial experience; but, after deleting and reloading the app, it Almost became useable. My main suggestion now would be to change the placement/color of the Clock in/clock out button, and the Take Shift button. They are the same and easily confused in haste. I picked up a shift unintentionally, because I was trying to clock in. The app froze...couldn’t clock in. Back out and came back in...pushed the button. Apparently came back to a different screen and ended up signing up for a shift that I didn’t want.
Another update: received notification that the schedule for the upcoming week was released...so contractors can pick up time blocks. I cannot see any of them. Next week is blank. In fact, every day is blank. I’ve never been able to access this to sign up for blocks. Ever. Which means I can’t get priority on the jobs.
In case I’m just missing something, I tried their tutorial videos...and what do you know?...they don’t play. None of them. Every one is a black screen. Well done.
Hands-down the best app of its kind
I’ve tried many different shift scheduling/clock in/out apps before. Some were good, some less than good, and some were outright treacherous.
‘When I Work’ is not good, it’s not even great, it’s spectacular; it is by far the best scheduling/shift planning/hours and pay tracking/extra shift finding app I have encountered with!
While the smartphone version offers all the features you need, it is not until you access ‘When I Work’ from your pc and realize this app’s incredible potential. The amount of clever features and details is amazing, it’s like having a bookkeeper/HR person sitting next to you ... for free! Time is money and having this app saves you both. Lastly, kudos to your customer service… big kudos, that is. When I first installed the app, I needed some help so, I e-mailed your customer service, hoping they can enlighten me within 24 - 36 hours. However, I was wrong ... I received an e-mail with detailed explanation within an hour. So, keep doing what you’re doing … because you are doing it right!
Incredibly slow and poor customer support
My biggest gripe as the account holder is that it’s as slow as molasses in January. I’m on a government T1 fiber line (shared) and it just shouldn’t be this slow. I’ve tried 4 different browsers and they’re all the same. It just shouldn’t be this slow.
Today I attempted to have customer service delete a personal email address I’d used to set up a dummy account. I’m the account holder and it was my email address. They flat out refused and told me it was policy that once an email is set up with a profile they can’t change it for security reasons but that only the user can change or alter it. I AM THE USER! The guy just continued to tow the company line. It was ridiculous.
I’ve had many other frustrating interactions with their CS and at this point I’m about to jump ship. Add to that the poor reporting features and it’s just getting to be more of a headache than anything. If you’re a small company/organization with very light and simple scheduling needs it might be ok since you won’t have to deal with CS much.
Nothing is ever free
Tried the app. Using the scheduling part is pretty simple.
Don't use the time clock. It's horrible. Clocking in and out my employees had to waste 2 to 3 minutes waiting for the app to connect before they could clean clock in and out. That's 8 to 12 minutes each employee, each shift just trying to clock in and out. Breaks were wasted messing with the time clock. Now that my free trial is over and I need to do payroll I can't retrieve the time clock data. Customer service is a joke and happily told me I would have to pay the upgraded service in order to get my data and they couldn't even guarantee my data still existed.
I will be canceling my subscription for the scheduling portion of the app. Many other apps do the same things and are more user friendly and free, with better customer service. My subscription is supposed to be renewed on the 29th of each month. They charged me the 27th and don't offer refunds if I cancel. Customer service is not helpful and my employees and I wish I never tried the app. I definitely do not recommend the app.
This App and Software is PERFECT!
I have 2 locations, 24 employees, 5 Managers and 4 different job types. This App has streamlined every bit of scheduling and attendance possible. We've been using 'When I Work' for a year and half and have had zero issues with anything. My staff loves the app on both iphone and droid. My mangagers love being able to fix any scheduling issues in seconds. It's a rarity that someone misses a shift or doesn't know that they are working with this app. We schedule one month out for everyone and are easily able to make changes well beforehand if someone has a conflict. I spent years creating spreadsheets with excel and numbers to use as timeclocks and also tried several other punch clock apps. None of them have anything on the integrated Attendance App that When I Work offers. Whenever I have a question for support, I usually get a personal reply within minutes. The small monthly fee has saved me dozens of manpower hours in stress and aggrevation trying to make and manage my schedule(s). If the App Store had 10 stars, that's the rating I would give it.
Technology is today's cultural baseline
Whether you are computer proficient or not, modern society demands the use of technology.
Open a door, make a cup of coffee, cross the street, or apply for a job, our American modern world commands the use and influence of technology everyday and in nearly everything in our operations of daily life.
This app is new to me for work schedules but it is easy to use, easy to access, and has helped me everyday in my job.
Seventy percent of our global population still get their water from a "well." What does this imbalance of the quality of life with technology and the inequality of life without simple water resources actually say about how man has perceived his advancement through superimposed technologies in daily life?
This app for employers and employees is an easy and useful tool. But it doesn't make it less equal to getting a bucket and walking 5 to 50 miles to the nearest water well as a scheduled part of daily life in the world somewhere.
Man does what he is told to do to survive everywhere in the world. And this app is my bucket to the nearest water well, plain and simple.
Group chat
It’s good app, maybe add a group chat between coworkers with same job title and have two week schedules instead of one week at a time. And also have the ability for the worker in shift to adjust his/her time then have supervisor approve instead of supervisors trying adjust times of all workers all the worker would need do was submit their adjustments then have approval from supervisor based on time and location stamp of app,,,! Also some companies corporate office is based out of state,so how about having the time zone and time difference shown and adjusted according to companies and time zones/state. Another thing,I had download an hour tracker for my work hours due to mine and other coworkers being wrong based off this app so try having a subsection with clockin/out option that keep tracks of hours and adds in hourly pay and accounts for lunches and breaks….there is potential for this app I like it but I don’t like having multiple apps to help track everything along with always asking coworkers what’s going on! Think smarter not harder we all in this together hooah!
Delivery Partner
As a delivery partner all my warehouse managers and other co workers super friendly and helpful. Easy to work with and very respectful all each other. Nothing to complain.
My only concern is last week I received an email about special weekly offer. If I work on certain hours I get some extra bonuses, which is great because my all other co workers also getting this offers on a weekly basis and that was my first e mail and I get super excited.
After a week I didn’t receive any confirmation massages or e mail about the working hours I’ve done with that offer.
I send an email to driver support and I received a massage saying ups we send you that e mail by mistake?!
I hire a babysitter just to able to work on that late hours shift so I can make some extra money now you just saying sorry to me.
I am totally disappointed. The answer I’ve received from the support team. I worked my other driver friends work as well. They all getting there bonuses but ME NO!
I shouldn’t be punished because of someone out there sending me that e mail “by mistake” .
Here is my very honest review, related to my very recent experience .
Needs a lot of improvement
This app surface level seems greet but leaves much to be desired. A few items that just need to be looked at from the perspective of a user and IT professional. I am running 11.4(17370.175043) on IOS 16.4.1 on an iPhone 13 Pro. Also know other users on different versions and platforms that experience the same issues.
1. The app is laggy or takes a too long to refresh, such as a message comes through a chat and it takes several seconds to load client side. Sometimes even requires closing the app completely to load messages.
2. Lately multiple users have been experiencing an issue where sending a message fails through a direct message. Once again the app either requires a restart and even then it may still not work. The message will have to be sent several times and you have to get lucky for it to work.
3.The UI is not as user friendly when it comes to performing swaps. This leads people to either accept the wrong swap or submit the wrong shift.
Its a lot of little things that should be easily improved to make a better app. I am currently in the process of searching for a better platform for the business if these issues don't get resolved.
Years of app alert issues
This app is the MOST important business tool I have. I don’t know how I would run my business without it. That said, it is the MOST frustrating thing in my life.
I have used it since 2015 and have 90 part time employees on it.
The app alerts are constantly an issue. I hear, “I have the app alerts on but didn’t a app notification” several times a week. I gave up on contacting customer support. What version of the app? What version of iOS? Can you delete the app and reinstall it? I’ve never had any missed notifications on ANY other app or had to delete ANY app and reinstall to get it to work. Please clean up the app alerts so they work reliably.
Honestly I would pay more for the simplier version of the app from 3 years ago. It ran faster, crashed less and wasn’t as complicated for part time employees to grasp.
Recently many of the employees are confused because filters are turning on without going in to the filter settings. Every week I get a screen shot “I don’t see my shifts”. I have to explain there is a red 1 in the top left which always leads to - “I didn’t turn on the filters”.
I would increase the app rating with the alerts worked properly.
Good Ideas…could be more intuitive and informative
I generally don’t have problems with app. The only thing is when changes are made to my schedule by my employer I don’t get any kind of notifications. If there is a setting for this I haven’t found it. That’s not to say it doesn’t exist but It’s not something that I was prompted to set up. Also it wasn’t completely apparent that I needed to indicate that I wanted my availability to “repeat”. Otherwise what it does essentially is prompt you to list your availability for the following week, but it never prompts you to list your availability beyond that first week. If it weren’t for an incident where I had gotten scheduled for a Sunday which I thought I had indicated I was “unavailable” for but in reality I only listed my preference for any given day for the first week only. So I would explain to new users that you have to fill out your availability and use the “repeat” slide button or go through the calendar manually and list your availability for as many days as possible or at least for a few months. Other than that the app has nice and helpful features like who works and when, as well as a place to message co-workers without having their personal phone numbers.
Awful!
Usually I don’t leave reviews on apps but for this app I need it for work and it’s glitches has created complications for my every day life. I updated the app and when I reopened it kicked me out of my work group. I tried to log back in and it said find a workplace and I typed in my job and it said it was waiting for approval from my manager but the same email that said I was waiting for approval is the email where I get notifications from this app saying my schedule as if I am already in the group even though when I go into the app it says it kicked me out. it’s super Frustrating because when I go in the app I can see my self as one of my coworkers like it’s two separate profiles even though it’s the same email and same profile which makes no sense. This is an app I need to see my schedule for work and to see my work chat for work updates finally my manager had to except the request that made it look like I was a separate profile but I have only signed up with one email and it’s the same email I used for them to accept me back in. So we had to start all over and I can’t see my past schedule or my hours but I can see my other profile that apparently doesn’t exist anymore
Availability no longer usable
I am an MFA student, so being able to set my availability for different parts of the year is incredibly important. With the old version, this was incredibly easy to do. I was able to set different availabilities for different parts of the year, set when they started and ended, and add names and descriptions for each, making it easy for both me and my employer.
But since the new update, that is impossible. The interface for availability has become confusing, and setting specific dates is no longer apparently possible. Any change made to a specific day is applied to all dates indefinitely, regardless of what the starting date or end date is set as. It is effectively impossible to set an availability beyond the current week, an even then it must be entered day-by-day using a calendar.
This is unacceptable. I have no choice but to use this app, since my employer set it up, and now I have to submit my availability by hand and hope it’s respected. This may actually cost me shifts in the long run, since my employer is already inflexible with the schedule as it is. I imagine I’m not the only user in this situation. Please return the availability menu back to its previous, usable form.
Original 3.75 ⭐️⭐️⭐️ now upgraded to 4.75 ⭐️⭐️⭐️⭐️
(original review started on March 1 ) So far so good. I give when I work a solid 3.75 stars with potential for a future 5 star rating! The company I am with is very small in staff 12 or less, and on our second week. Previously the company had been using when-2-work which seemed to work well also. This app is definitely an upgrade however and thus far I can only see a handful of possible improvements. Mainly more customization and easier navigation. Basically more options for the employee or base user profile. Manager profile obviously has a lot more and is adequate.Great app and definitely worth a try. ⭐️⭐️⭐️
(Updated/current review) Well, after much use and learning of the system this app officially gets 4.75 stars. Little to no issues between all employees, only one single glitch that I have encountered and unable to replicate. Potential ID10T error . This app will be a good choice for any small to medium business. As for large I cannot speak since I have no data to base that on. The potential for a true 5 star rating is there and probably deserved. I simply hold back on the 5 star rating for the rare 1%. If things progress as they are, I will update this review and give a higher ranking. ⭐️ ⭐️⭐️⭐️
Less than advertised
Great program-really. Just misinformation when they sell it to you.
They say you can manage 10, 20, etc. employees but . . . you can't.
They don't separate administrators from employees. You have users - not employees.
I can only manage 9 employees on our plan because I (the person that schedules) count as a user (employee) not an admin.
We're a small business - under 10 employees. I'm one of the owners and handle scheduling. I had the bookkeeper listed so she could check the schedule at payroll time. I had another owner listed so they could check the schedule and manage it if I was unavailable.
We hired two new people and I had to lose the other owner and bookkeeper.
Yesterday I hired my 10th employee and now have to upgrade.
It's not a huge cost. But it wasn't what I bought.
If you say 10 employees it should be 10 employees.
There should be an admin (or two) user that doesn't count toward our promised number of employees.
Customer service is chat. I chatted with a help desk employee yesterday and they kept saying "would you like me to send this on to our programming people?". I kept saying yes and they kept asking the question.
I asked to have someone call me from the company call me and they just asked the programming question again.
Today, I got an email another help desk person (not much escalation with a customer issue) telling me the same thing as the person yesterday.
It really is a good scheduling system. Just less than honest.
I recommended WIW to 3 other companies and had to call them and warn them to budget a little more.
Great system just tarnished by less than factual information.
Production Assistant
My name is Jack Bays! I’m a Production Assistant at Two Men and a Garden since September 2022 - the present. So, that means I get to help make all the products and then send them to our main packaging/warehouse associate, Bob Smith, who can officially label all the products I make and then package them up and get them ready for shipping. I work with an extraordinary group of men & women in the kitchen making all of the products in a fast pace just like our boss owner/founder Joel Austin always loves. I know I said I work in the kitchen a lot since that is my main job title as a Production Assistant. But luckily, with all my flexibility and with Joel’s permission, I am able to help Bob out some with his packaging work by making and preparing the boxes for him for shipping since the boxes don’t come pre-made. You actually have to make them by hand. So, I always love making boxes for him, so he can just immediately start labeling and packaging up the products without even worrying about having to make the boxes first to make his work go by twice as fast since we do have to make at least 200 jars of product every single day, if not more depending on how busy we’re because of how rapidly this business has grown within the past few years.
And I’ve always love using the When I Work App for my work at Two Men and a Garden. This is how I can stay updated with everything going on at my workplace when I’m not there on my off days or something. I can use that to make my schedule since it is kinda flexible scheduling. And I can also see what products we’re making every day, so I’ll be prepared. So yeah, I really enjoy everything here at my job including the When I Work App.
This app functions OK, but HUGE FLAW
The When I Work app does all that it advertises, sure, but it has a huge flaw that is worth bringing it down from 5/5 stars to 2/5... The schedule filters do not clear themselves automatically so every time you open the app and view the Scheduler tab, you will only see information based on your previously selected filters. Let me explain the problem: Bobby works for a company that has multiple different locations and/or shift starting times. Bobby looks at his schedule and glances at his week- he sees no upcoming shifts and makes plans- flash forward to the end of the week and Bobby gets a call from his boss asking why he hasn’t been showing up to his work all week... turns out the last time Bobby used the When I Work app to check his schedule, he had set his filter to only view [Night Shift]- but when he loaded up his app to check his schedule this time, the filters was still set. Bobby didn’t see any shifts under the [Day Shift] category because his filter didn’t reset from 3 days ago. Maybe your business categorizes shifts by location and not time, in which case a single filter could be hiding EVEN MORE.
Imagine being an employer and having employees no-show to shifts constantly over something as simple as a stupid filter accidentally restricting how much of the entire schedule the employees can see. Imagine your business looking bad because it can’t perform up to par because employees can’t know when to show up. That’s what it’s honestly like to use this app. Sure, you can remind people to always check their filters but realistically, people forget constantly and it shouldn’t even be something they need to remember. Constant headache. Do you reprimand an employee because for something like this? Great, now we have a moral and ethical dilemma. Too bad the filter didn’t clear itself from the last usage!
Great app!
I love this app for scheduling! Actually, the entire team does too. Before using this app, I did all scheduling with Excel. Then I started to put separate calendars together on Word to make it easier for everyone to keep track of their own shifts and hours per week. That would be 10+ different calendars for employees and then 2 more that I would create for the separate positions with each employees shifts on there. It would take me a whole day and I would constantly check everything to make sure it’s all correct.
One con would be that it is $15/month for the basic, every 10 employees. Our company recently began expanding and are gaining many new employees that I supervise. I pay for When I Work out of my own pocket because my boss always pays for plenty of extra training, equipment, supplies, etc. (which isn’t necessary but we request it). This is just more for a convenience for us, but mainly for myself. My boss prefers everything in Excel a certain way regardless...
Another con is not being able to switch from the app view on iPhone or iPad systems to the desktop view. At work, I’m in a vehicle for extended periods of time and usually only have one of those. My laptop mainly stays at work on my desk. I love the desktop view 100% more that the app view. It is way more organized online with my laptop and makes it easier to see much more while scheduling shifts. If that view could be used with iOS servers, this app would be a lot better.
Finally, my last complaint is that the app always freezes, requiring me to force close it in order to make it work again...But besides the complaints/cons, I love everything about the app. Scheduling is VERY easy now, everyone now has it right on their phones/tablets and get new notifications immediately (eliminates unnecessary paper waste), and employees can put in time off requests, swap shifts, pick up open shifts, etc. Very good app but lowering the cost to maybe 3 packages at a set price after 10 employees would be more feasible. The desktop view on the mobile app and fixing the bug that makes it freeze would then make it perfect for me and our team!
Overall great tool
This was my first time using this app for scheduling with the employer I’m currently with. Overall I like that app, but have noticed some glitches here and there.
For scheduling purposes I don’t know if from the employers end they have the ability to schedule more than one week at a time, if it’s not an option then I wish it would be an option because it makes it so much more convenient to know a little more ahead of time where I’ll be.
First: On a few occasions I’ve noticed that when I was trying to clock in or clock out, the green bar at the bottom would not be present (this I couldn’t do either function). I would close the app and had to log in and log out sometimes a few times in order for it to finally work. There were times where it appeared after a few log in attempts but sometimes it ranged from 3-20 mins before it was resolved. This is inconvenient when I have to catch the bus or train within a few minutes after my shift but I have to wait because my employer has the location setting this I have to be within a 100 meter in order to clock out. This I’ve missed a few buses to say the least.
Second: I have an Apple phone and it’s come to my understanding that androids and iPhones present the app differently for certain functions. On Apple I’m able to look up my coworkers and see their schedules. I’ve heard with androids you can see their schedules (not confirmed). But what’s most concerning is when I receive shift swap requests. If an Apple phone user requests a shift swap, the app automatically detects who you can actually swap with and why days. But sometimes I’ve noticed with android users that when they’re request swaps, some of the swaps make no sense at all and are impossible. You can work 2 shifts if the same hours. Thus I heard from an android user that when they request swaps, they can’t really see others schedules so they just submit a swap and the system send it out to certain people who it shouldn’t even have included. If I’m not attentive enough and don’t take that additional step to confirm I’m off, or I’m already on for a day they want to swap with I would be accepting a swap that is incorrect. And our employer let us know that we can’t accept two shifts for the same day. And it’s our responsibility to be attentive and make sure the swaps are valid. So this creates unnecessary requests or notifications for individuals who don’t qualify for a swap.
Third: I notice the chat functions lags tremendously! Honestly it’s prob one of the worst chat functions I’ve encountered.
The system doesn’t even detect when I’ve sent the same person the same message in repeat. It will create a whole new chat for that. The duplicate messages occur because I could be in the middle of writing a message and then it says the chat is disconnected or something all the ones of that. This will occur as I write a message. So now I write out my message on notes app and then copy and paste it into the chat feature and hit send right away.
Fourth. I don’t necessarily think the notifications work well on the app. I’ll have read all the alerts in the app and then if I log out because the app is being weird, as soon as I log in, it says I have multiple alerts and thus says I never checked the alerts I had already checked. I also realize even though I haven’t alerts on, when ever my manager send us a chat message or post the schedule, the app notification doesn’t always come through. So something is glitchy there.
Lastly on the last update, I noticed that when going to the coworkers tab, there is no longer an alphabet on the right hand side so if I want to check my room mates schedule I have to continuously scroll until I reach their name, unlike before the last update when I could select the letter and then get to their name quicker.
Besides this, the app is convenient overall. And I enjoy using it.
When I Work Complaints 17
“Availability” section no longer works
I have the same complaint as many others: The availability section, once functional and easy to understand, is now essentially broken. I noticed the the response to all previous complaints was to go to the help section, so I did. I attempted to fix my availability step by step, as instructed by When I Work, and still I am unable to make changes to my availability. There must be a glitch because no matter what I’m met with the same response, “This preference conflicts with another [date].” Something is messed up, please fix ASAP. My next semester starts very soon and I must update my employer. Thank you.

Read their cancellation “policy”
Prepaid for 1 year of service to find out that you cannot back out of any prorated payments.
You used it for 1 month out of 12 pay for the full 12 months.
There are much better and less expensive services that provide the same level of features of not even more, we switched to Home Base on March and have found that they are roughly $90 dollars the year vs $609. It comes with even more features than wheniwork, google it.
Do yourself a favor and look for another service, especially for a small-med size business. Wheniwork is too occupied with helping Fortune 500 to really care about small business needs or complaints.

Availability
App has some issues clocking in and out but nothing deal breaking.
However, I have two jobs and I have to set my schedules around each other. So the fact that the availability options don’t even work let alone allow me to change them is quite frustrating. I changed one days availability and it was a Wednesday because I work a night job from Wed-Fri after I get done with my day job. And now, not only does it not show my changes in availability on Wednesday but it won’t even let me change the availability on the later days in the week; Thursday, Friday. Availability is a crucial feature in a work scheduling app. Fix it. Thx.

Loss of money and opportunities!
So I use this app as a portal for my work and assuming I’m still gonna have my job after this again I keep getting passed up on the schedule and have gone 4 weeks now without a single hour on the schedule. My profile account continues to get deleted from my work portal like I have been erased as an employee all together. My manager has added me now 3 times and now he has to put in a ticket with the app ppl I guess. So who knows how long it will take this time. I can’t make money and it’s bc of the app. I’m sure they are not gonna compensate for my losses and my bills r just gonna get more behind and I can’t do anything about it!

The “Free” account is useless
We schedule 30 days out, but only have 5 employees.
The methods in which you choose to set rates is not very mindful.
This is set up to charge, I get it, making money, but it’s more helpful and would create more long term users if it was set up to grow as the company grows.
Charge when the employees grow, not simply for trying to schedule them.
This is false advertising by acting like it’s free and unlimited and then once you sign up, you learn it’s only 10 days out. That says that nowhere prior.
Companies don’t only do 10 days out. That’s useless.
Your free plan is no plan and that’s a pretty unethical way to run a company.

Okay product, overpriced
The app is okay. Used to be better before recent updates. Now it's temperamental. Way too pricey and they keep raising prices. Customer service is average with flippant responses to problems that they cause. They cut off my time clock in the middle of my operation when the free trial ran out. Only warning was a small countdown in the corner of the dashboard- where I rarely went. Caused me a ton of problems and several hours of additional work. And they didn't care or do anything. I suggested an email to warn that the app was going to be turned off. And their response was ooh, I could mention that to the team. Really? Bottom line - not worth the problems or the price.

No
Doesn’t show your schedule after you pick up a shift so if you don’t write it down you won’t be able to see or confirm what days you work...
Quite possibly the worst and most unreliable app! I have to delete the app and reinstall it anytime I need to see my schedule and posted shifts, so once I get a notification that shifts are posted, they are not visible until I delete it a couple time or more and sometimes just those couple minutes waiting for it to reinstall slows your chance to pick up shifts, others will have taken the shifts, the most really frustrating app! Why are we even using such glitchy technology! I feel so much stress using it. And that’s not healthy!

Gets worse with every update
This platform good for business with 25-30 employees. Anything above that and you will experience a really slow manipulation process. What use to take us about an hour to make a schedule, now takes us about 3-4 hours because of the lag. Also, they revived a really good feature. Before you were able to filter out employees by sites. For example if you selected 2 sites you would only see the employees scheduled for those two sites. Now you can only filter one site at a time, if you try 2 or more sites you now see even the employees that are not scheduled for the selected sites. We have been with this company for over 7 years, sorry to say we will have to consider moving to another platform.

Non user friendly
The app is not user friendly at all. It is nearly impossible to trade shifts with co-workers. The vacation request go to random managers rather that your assigned manger and they can make approvals when they don’t even work at the same site. I tried to petition vacation time on the app and had to simply give up and tell my manager in person because the app would not allow it. I have also tried making the schedule with my manager and it is extremely difficult to make changes to the schedule especially since every single change made has to be saved individually, if save is not selected at every single change then nothing is saved and hours of work never happened. This app is not user friendly at all.

Horrible Customer Service
They never seem to care about the paying customers. If there is an issue, it’s never resolved. Today, Tiffany, the customer support representative was extremely unhelpful. They updated the software and some changes were made in the app. These changes result in more work for the customers and I made sure for alert their team. Tiffany gave me no helpful tools, no feeling of urgency, no sense of understanding how important that the change be reverted back to how the app has worked for years. No understanding of when the issue would be fixed. I was left with nothing but now feeling that due to this new update, I will have to do hours of new work each week. Horrible customer service, horrible app. Please fix asap.

Wish it was better
I first suggested When I Work for my company because all the benefits, online and on the app, were the best I had seen. But the issues we have had the last several months have been infuriating. The app constantly force closes, freezes, has issues with the server or proxy, and in general can’t keep up. Also, email response from the team is great and for the most part timely, but when I have an issue it is sometimes easier to call as opposed to email and that has never been an option for us. We are currently shopping around for other apps that can handle our business needs, and as much as I don’t want to switch, I hope we find a solution so we don’t have to deal with the almost weekly crashes and issues we keep having.

Ok, but extremely lacking
My company just switched from HotSchedules to When I Work and it’s been interesting trying to adjust. For the most part I like it so far, it has some features that HotSchedules didn’t have and I think my discomfort with the layout of things will go away the more I get used to it.
By far my biggest gripe with the app is with messaging. For one I am only able to message my supervisors and managers, not my fellow colleagues or general manager. Also when one of my managers sends out a message through When I Work it goes to my email. I don’t understand how there’s no centralized inbox for messages. The communication aspect is extremely lacking and so frustrating coming from an app that had this incredibly obvious feature.

Terrible App
DO NOT SIGN UP USING APPLE! I’ve been trying to use this app to get my schedule for my new recent job and can’t even use the app. If I sign up through Apple using my Apple ID, I should be able to manually enter that email address to log in but I can’t! It doesn’t even recognize that I made an account with that email. Tried doing “forgot password” then get an email saying there’s no account associated then I try and resign up using that SAME email address and it says there’s an account registered. No settings options in the app, can’t reset or delete account to start over, no account or profile view or anything if still pending from employer. May be better if you can actually get to use the app but other than that it’s been a hassle so far.

Don’t get this app
I purchased this app for my business of 10 employees (I’m the owner) making 11 users including me (not an employee). The plan ask how many employees I have, I said 10. I’m paying $168 a year for 10 employees. Here’s the kicker, to add my tenth employee I have to pay $166 more because it counts me as an employee. On the plan it says unlimited users, at $1.40 per employee, don’t believe it! It’s in increments of 10 and you count as one! It’s not user friendly as well. The dashboard doesn’t give you a clear way of navigating the app. You have to dig around to find the employee list and if you need to make changes to an employee, you have to delete them then add them again. It is not worth the money. Use the Crew App, much better and easy to navigate.

Attendance needs work
I’m a huge fan of When I Work we recently started using the attendance app as well. However It takes me almost an hour every pay period to fix my staffs hours. When I work doesn’t offer any kind of automated rounding which would stop unintended overtime. Example an employee clocks in 3 minuets early and clocks in 4 minutes early from lunch and then 3 minuets late clocking out. So every day you have 10 minutes of overtime, that adds up to a huge amount of unintended and in un- authorized overtime. If they would provide an option for overtime rounding that is already approved by the labor department It would make processing payroll much quicker.
Btw the law states under 8 minutes round down over 8 minuets round up. 8:03 gets rounded to 8:00 and 8:08 gets rounded to 8:15
Hopefully this gets addressed soon.

Bad app design
I have had When I Work for some time now, and I have had multiple bad experiences with this app. As a teenager trying to dip my toe in the water when it comes to work, I don’t think that it’s fair that I have to deal with my manager reprimanding me over missing a shift due to the apps poor coding. It is extremely scary knowing that your boss is irritated with you missing a shift and constantly having problems with the app. I shouldn’t be put through this and nor should anyone else.
To clarify the exact problem I had, I experienced login problems via Apple ID. Every time I tried to use Touch ID it would take me to a blank screen with one two options. One to find a new workplace or create one. I finally figured out that since I had already registered my account under an iCloud account, I could just log in via the email. While this may seem like a simple solution, this is a product of poor app design and should be fixed immediately.

One tap to Not clock-in
Don’t call a button clock-in if it doesn’t clock you in. I miss over half of my clock-one because your “clock-in” requires two button presses. Amazon can figure out one click shoppin, you should be able to figure out one-tap clocking. This is an app-breaking bug in my opinion. You could have gotten everything else right (spoiler: you didn’t), and this one design choice would be enough to render your app completely unuseable. In fact I try not to use it. Most days I just write my hours down on a sheet of paper and tell my boss the app didn’t work. I’m not the only person who does this where I work. All thanks to your “clock-in” button that doesn’t clock in, but rather takes you to a secondary screen where you can actually clock in.
Also, stop asking me to review your app. I did not choose your app, my boss did. I would not recommend anyone work anywhere that requires them to use your app or one like it. Your app is that unpleasant to use.
